Manage Workspace Members and Roles# Link to this article

Workspaces hold projects, data and allowances. Roles decide who can spend allowance, who can change settings, and who can only read.

Everything in Rankato belongs to a workspace: projects, integrations, history and the monthly allowances they draw on.

Roles# Link to this section

  • Owner — full control, including billing, plan changes, and deleting the workspace. Also sees every support request raised in the workspace.
  • Admin — manages projects, members and settings. No billing control. Also sees workspace support requests.
  • Editor — works on projects: runs audits, adds keywords, submits URLs. Cannot change workspace settings or invite members.
  • Viewer — reads reports and exports. Cannot start work that consumes allowance.

Inviting someone# Link to this section

  1. Open Settings → Members.
  2. Choose Invite member, enter their email, and pick a role.
  3. They receive an invitation link and join the workspace on acceptance.

Your plan sets the number of members. Inviting past that limit is refused server-side — the interface will tell you before sending.

Per-workspace tool permissions# Link to this section

Beyond the four roles, an owner or admin can grant or withhold specific tools for Editors and Viewers under Tools & Permissions. By default, Viewers cannot trigger work that spends allowance — crawls, SERP lookups, or keyword runs. Ticking a tool there grants that specific capability without promoting the member to a higher role.

Removing someone# Link to this section

Removing a member revokes their access immediately. The work they did — projects, audits, keyword history — stays with the workspace.
